Business Context and Challenge

  • Business Problem: The company experienced explosive growth – from a few to over 250 employees in a short period of time. Their IT infrastructure, created at the startup stage, could not keep up with this pace at all. The main problems are: 
    • Operational chaos: Manual configuration of laptops (time-consuming and error-prone), lack of a central ticketing system (problems lost in emails), reactive IT support (“firefighting”). 
    • Growth stunting: Difficulty onboarding new employees quickly, problems with access and tools. 
    • Business risk: The company relied heavily on data and digital systems (design, production, sales) – each failure meant real financial losses and delays. There were no security and backup standards adequate to the scale of operations. 
  • Goal: To build from scratch a professional, scalable and secure IT infrastructure and support processes that will not only keep up with dynamic growth, but will become the foundation for further expansion and operational efficiency. 

Role of 5ip

  • Strategy: Implement a three-step IT development strategy, synchronized with the company’s growth phases, from core services to advanced automation. This approach is an example of how 5ip adapts solutions to the scale and needs of the client. 
  • Phase 1 (Start: 1-50 employees): Launch of the basic ServiceDesk, implementation of remote support and basic monitoring – introduction of order and control. 
  • Phase 2 (Scaling: 50-250 employees): Implementation of a full ServiceDesk with prioritization, standardization of backup and security processes, central management of mobile devices – building a solid foundation. 
  • Phase 3 (Automation: >250 employees): Implementation of Microsoft Intune and Windows Autopilot for full automation of workstation deployment, implementation of advanced security policies based on Azure AD – achieving efficiency and scalability at the enterprise level. 

Business results

  • Drastic reduction in employee onboarding time: With Intune/Autopilot, the setup time for a new laptop has been reduced from ~2 hours to just ~25 minutes, which is crucial with rapid employment growth. 
  • Increased Operational Efficiency: Automation and standardization of IT processes (provisioning, support) significantly relieved the IT and HR team, allowing them to focus on strategic tasks. End users experienced fewer issues and faster assistance. 
  • Improved Security and Stability: Implementing consistent security policies, device management, and professional backup minimized the risk of incidents and downtime. Proactive monitoring allowed to reduce IT operating costs by approx. 18% (according to the client’s data) despite the increase in scale.

  • Configuration Requests:  Decrease in the number of requests related to the basic configuration of new equipment by about 90%. 
  • User satisfaction: Increase in IT support satisfaction score (CSAT) by more than 30 percentage points after ServiceDesk implementation and standardization. 
  • IT operating costs: Estimated savings of 18% through asset monitoring and optimization.
